Macintosh Printing Errors

Printing problems usually have three symptoms:

Binary Postscript Errors
Our printers can not accept jobs through the PAS system that are encoded using Binary Postscript. This is especially true for Macintoshes. For more information, see the
HP webpage. Their solution is to print over Appletalk, but PAS must use tcp/ip. So, we have to tell our printers to print using ASCII Postscript.

To do that:

  • When you are about to print your file,
    Select the Print option from the File Menu (don't hit the print button!)
  • You'll get a dialog that looks something like this: (Pagemaker, skip to down below)
    Select the General pulldown menu, and you should see the name of your application (Illustrator, Photoshop, PowerPoint, etc.)

  • Select your Application name there, and you'll get a new screen. The appearance will vary depending on the Application.

  • Somewhere on that screen there should be an option that will say encoding or data or postscript, and in the option name it will have something along the lines of Binary. Switch this to ASCII
    Some examples:

  • It works a bit differently in PageMaker

  • Click on the Options button on the print dialog:

    And you get this dialog, where you want to select Send ASCII Image Data:

Please, if you still have problems, contact System Administrator We're going to start charging for prints, and "mistakes" WILL be charged as well.


PC Printing Errors

| Not logged in | | Printer Paused | | Invalid Billing Code | | Application specific problems |


Printing problems are usually caused by one of four problems:
  • Not being logged in properly,
  • A previous user had problems, and therefore the Printer is paused,
  • You tried to use an Invalid Billing Code, especially none, an account which someone inadvertently typed in, which is NOT the same as <none>, which is the system's way of saying "your personal account." Using your username as a billing code will also create an error.
  • Your account is out of money.
  • Application specific problems: PageMaker, Poster printing, Eudora, etc.

Most printing errors are being caused by the user not being properly logged in. Did you type in your username and password when you sat down? If not, you're not logged in.

To log out the previous user:

On Windows 98 (the front three PC's):

Go to the start menu, and choose "Log Off <username>":
and hit YES at the next dialog:

On Windows 95 (the back three PC's):

Go to the start menu, and choose "Shutdown"
And then choose "Close all programs and log on as different user:"

If that doesn't solve your problem:


Printer Paused or Off-line

The printer may be set to work off-line, or it might be paused. Is there an icon like this: in the system tray (lower right hand corner of screen):

Double-click on it, or open up the printers folder:

If you get something that looks like this:

the previous user didn't complete their print jobs. You'll have to delete their jobs and reset the printer.

Double-click on the problem printer (will be grayed out, and have "user intervention" next to it.)

Delete the print jobs that are there by selecting them (clicking on them once with your left mouse button) and then choose "Purge Print Documents":

Then you'll have to turn off "Use Printer Offline" and/or "Pause Printing"


If that doesn't solve your problem:
Invalid Billing Codes

You may be using an invalid printing code.
When the system asks you for a billing code:

DO NOT TYPE IN YOUR USERNAME. If you want to charge it to your personal account, leave this dialog BLANK or choose <none>. Do not choose none (without the < >), as that is an account which someone inadvertently typed in. It will take a bit of time to clear it out of the system.

To double-check which codes you have access for, hit Browse Codes... and then Refresh.

If nothing shows under Refresh, you don't have access to any of the departmental accounts, or to a budget number. You must choose <none>. If you should have access to a budget (CUFS) number or departmental account, contact System Administrator or your advisor or accountant.

Those invalid codes which have already been typed in will work for a while, but I will be going through and disabling them and informing the users.


Application Specific Problems

Many problems are specific to the application trying to print.

Adobe PageMaker will often need some specialized file. Contact System Administrator to get the files.

Eudora often has problems printing e-mail if the title of the e-mail is too long, or contains funky characters like @ $ *.
Shorten the title and try printing again.

Printing Posters:
There are all sorts of driver problems with the poster maker. Some of these are covered in Printing to the Plotter page. Trying a different driver may solve the problem. Again, contact System Administrator for more info.
